Refund & Cancellation Policy

1. Scope
This policy applies to all subscription fees paid for Dhruvanta One and associated products provided by Dhruvanta Systems Private Limited(CIN U62013TS2026PTC212638). It forms part of the Terms of Service.
2. Subscription billing
Subscriptions are billed on a recurring basis (monthly or annually depending on the plan selected). Fees are charged in advance for the upcoming billing period and are non-refundable except as described in this policy.
3. Cancellation
Self-service cancellation
Customers on Starter, Growth, and Professional tiers may cancel their subscription at any time via the Account settings page. Cancellation takes effect at the end of the current billing period; access remains active until then.
Business and Enterprise cancellation
Cancellation for Business and Enterprise plans is subject to the notice period specified in the applicable order form or agreement. Contact legal@dhruvantasystems.com to initiate cancellation.
4. Refunds
- No pro-rata refunds on cancellation. Cancelling a subscription mid-period does not entitle the Customer to a refund of fees already paid for the remainder of the period.
- Service-failure refunds. If Dhruvanta Systems fails to meet a written service level commitment, the Customer may request a service credit or pro-rata refund for the affected period. Requests must be submitted within 30 days of the incident to legal@dhruvantasystems.com.
- Erroneous charges. If a Customer is charged an incorrect amount due to a billing error by Dhruvanta Systems, the full incorrectly charged amount will be refunded within 14 business days of confirmation.
- Annual plan downgrade. Customers on annual plans who downgrade to a lower tier mid-year will receive a pro-rata service credit applied to future invoices; cash refunds are not issued for annual plan downgrades unless required by applicable law.
5. Free tier
The Free tier carries no subscription fee; no refunds are applicable. Free tier accounts may be subject to usage limits as described on the Pricing page.
6. Account deletion and data
When a Customer initiates account deletion, a 7-day grace period applies during which the deletion can be cancelled and full access restored. After the grace period, data is purged from live systems in accordance with the Privacy Policy. Deletion of an account does not entitle the Customer to a refund of subscription fees already paid.
7. Refund process
Approved refunds are processed to the original payment method within 14 business days. Dhruvanta Systems is not responsible for delays imposed by the Customer's bank or payment provider.
8. Governing law
This policy is governed by the laws of India. Disputes arising under it are subject to the exclusive jurisdiction of the courts at Warangal, Telangana, India, as set out in the Terms of Service.
